This privacy policy is for Pure Essence Yoga and Wellbeing, website www.pureessenceyoga.com and governs the privacy of its users.

The website

We value our own privacy and take yours very seriously too. Pure Essence Yoga and Wellbeing will never share your personal details with third parties without your consent. This privacy policy explains how any personal information collected about you when you use the website or book a yoga class, workshop or retreat is processed. We have a lawful basis and duty of care to obtain your information (‘special category data’- data relating to your health) in order to offer you the best service possible and to ensure that we can safely meet your needs in classes/private sessions/workshops/retreats and offer any advice or modifications that may be necessary to you.

Any information you provide will be kept confidential and will not be shared without your prior written consent. We will only keep your data as long as you are happy for us to do so.

Our collection and use of your personal information

Personal data means any information about you from which you can be identified. The data we collect includes:

  • identification data (including name, date of birth, photo ID)
  • contact details (including postal address, email address and telephone number)
  • financial information (including bank account details and payment card details)
  • any other personal data we collect in the course of providing services or in the course of operating our business
  • in certain circumstances, we may collect certain ‘special category data’, which includes data relating to your health (including disabilities)

We use this personal information to:

  • provide our services to you (e.g. create and manage bookings)
  • verify your identity
  • provide suitable Yoga and Wellbeing classes/workshops/retreats to you
  • customise our website and its content to your particular preferences
  • notify you of any changes to our website or to our services that may affect you
  • allow the billing of services provided and to obtain payment
  • process and respond to complaints
  • improve our services

We will collect personal data about you by various means, including:

  • in person when meeting with you
  • by telephone
  • by correspondence (including by post and email)
  • via our website (e.g. when submitting an enquiry on our contact form)

If you provide us with personal information about another person, for example a member of your family, you must ensure that:

  • you have the authority to give us that information
  • all personal data disclosed is complete, accurate and up to date

Our legal basis for processing your personal information

We rely on the following legal reasons for processing your data:

  • consent: Where you have given us clear consent for us to process your personal information for a specific purpose
  • contractual necessity: Where it is necessary to perform a contract you have entered into, or in order to take steps at your request prior to entry into a contract. This will include for example our contract with you to provide you with Yoga classes (membership)
  • legal obligation: Where our use of your personal information is necessary for us to comply with the law (not including contractual obligations)
  • normally we will only process ‘special category data’ (e.g. data concerning health) when it is necessary in the context of considering health conditions in order to ensure that you are offered a safe practice with any necessary modifications
  • we will only use your personal data for the purpose, or purposes, for which we have obtained it. If we reasonably consider that we need to use it for another reason we will only do so if that reason is compatible with the original purpose. If we need to use your personal data for an unrelated purpose, we will inform you and explain the legal basis which allows us to do so
  • we may process your personal data without your knowledge or consent where it is required by law

Marketing

If you request to be on the mailing list we will occasionally contact you to keep you informed about classes, workshops and retreats that are being offered. The mailing list will not be used for any other purposes. Our mailing list is stored securely on MailChimp, whose procedures and processes fully comply with the GDPR and you will have the option to unsubscribe from this list at any time by clicking the unsubscribe link at the bottom of any newsletter or email. Children and Teens

We provide yoga and mindfulness classes to children and teens and this privacy policy applies equally to any personal data (including special category data) that is collected in relation to children/teens who attend our classes. Children/teens must be represented by their parents, guardians, or other representative. Where consent is necessary to the processing of personal or special category data in relation to children/teens we will obtain such consent from someone with parental responsibility for the child/teen.

Access to your information and correction

You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, please email claire@pureessenceyoga.com. You have the right to ask that we update any information we hold about you that may be incorrect. It is important that the information we hold about you is accurate and up to date. If any of your personal information changes, please let me know.

Services

Pure Essence Yoga and Wellbeing offers regular yoga, mindfulness and meditation classes and workshops, online and in-person.

‘Classes’ means both online and in person.

In person classes are restricted on numbers attending – It is essential to book in advance ( prior to making a payment).

In person classes

1 class per week

1 class per week during a 5 week period

Registration fee

One fee per academic year

Class Booking/Registration and Arrival

Please ensure you have completed/signed and returned a registration form before starting classes (online and in person). Registration forms are renewed annually unless there are substantial changes to your personal details.

  • Please book for your classes as early as possible:
  • Online: preferably 4 hours before the class start time , except for early morning sessions where 12 hours notice is ideally needed.
  • In person: preferably 12 hours before the class start time.
  • In person classes can be booked 2 weeks in advance, except for those yogis booked onto ‘courses’.
  • The Zoom link for your online class will be emailed to you 1 hour before practice.
  • Please check your junk mail for your confirmation email if not received.
  • Please try and enter the online class waiting room 5 minutes before the class start time to help maintain punctuality and allow time to set up your space.
  • For in-person classes, please try and arrive 10 minutes before the class start time to allow time to settle.
  • Please let me know if you are running late, it may not be possible for you join an in person session.
  • Pure Essence Yoga and Wellbeing reserve the right to refuse entry.

Cancellation, late cancellation and no-shows

  • If Pure Essence Yoga and Wellbeing have to cancel a class for any reason, we will inform you at least 4 hours (online) and 12 hours (in person) – except in the case of an emergency, before the class start time, and will return your credit to your account or issue with a class credit.
  • A 12 hour notice is required for the cancellation of in person sessions and 4 hours for ‘Live’ online classes (except early morning ‘Live’ sessions where the 12 hour policy will apply). The cancellation window may vary for specific classes, workshops/retreats and will be clearly advised at the time of booking.
  • Cancellations can be made by text or email.
  • If you do cancel your class within the cancellation windows you will be offered the opportunity to reschedule your class or take a credit. Refunds are also available (minus Stripe processing fees).
  • If this notice period is not given without the cancellation window as stated above, a full charge will apply and the booking will be treated as a last minute class cancellation or no show.
  • No show: If you do not show up to your class your credit will not be refunded or credited.
  • Wherever possible please try and pay for the session at the time of booking. If the session hasn’t been paid for in advance, the next time a booking is made the balance owing will be requested to be paid.
  • Pure Essence Yoga and Wellbeing will always consider compassionately last minute cancellations due to emergencies or sudden illness – please call, text or email.

Extended classes/Workshops/Retreats

The terms and conditions/cancellation window may vary for extended classes/workshops/retreats and will be clearly advised at the time of booking.

Under 16 Policy

Children under 16 years cannot attend any classes at Pure Essence Yoga and Wellbeing except those classes arranged specifically for children and teenagers.

Exceptions will be made under the following circumstances:

  • The under-aged person’s parent/s or guardian/s have consented to such sessions and are present at all times whilst the session is in place.
  • Unaccompanied persons of 14 and 15 years have parental consent for attending the class and have provided this in writing to Pure Essence Yoga and Wellbeing.

Pregnancy and Post-Natal Yoga

There are currently no specific Pregnancy and Post-Natal Yoga classes on offer at Pure Essence Yoga and Wellbeing.

Pregnant women are welcome to attend any class, but with the understanding that they take responsibility for their body and do so at their own risk (see health and wellbeing section below).

Please inform the teacher at the start of your class if you are pregnant or have any concerns.

If, for any reason, an infant accompanies their parent to a class, the parent will be wholly responsible for their own offspring. Pure Essence Yoga and Wellbeing will accept no liability for the children during this time.

Health and WellBeing

Yoga is a safe and effective form of exercise, Great care is taken to ensure your safety and well-being. However, you are required to take full responsibility for your own practice in class.

If you have low/high blood pressure, cardiac irregularities, are pregnant, recovering from injuries, have limiting conditions, take regular medication or have any existing medical conditions it is your responsibility to seek the advice of a medical professional before signing up to any Pure Essence Yoga and Wellbeing classes.

It is your responsibility to ensure that the classes you take and the variations you choose are appropriate for your physical and mental conditions/limitations.

You must take full responsibility for your own body and practice in class and make the the teacher aware of any medical conditions, complications or physical limitations before class. Pure Essence Yoga and Wellbeing reserves the right to refuse entry into any class if there are any concerns.

You must agree to honour your body by adjusting the practice according to your own capabilities and needs to ensure that no personal injury occurs. Should injury occur during class, Pure Essence Yoga and Wellbeing will not be held accountable.

When practicing online, you must agree to practice in a safe space, take breaks if needed, and stop immediately if you feel pain or unwell and seek advice from a medical professional.

It is recommended that you refrain from eating two hours before class and make sure that you are hydrated and have water available to you during class.

You are participating in my online classes at your own risk, with everything you do being carried out as your choice. Pure Essence Yoga and Wellbeing does not accept any liability for any injury or damage arising from the use of this website and the classes here.

I am fully insured but am not a medical professional, and cannot offer any medical advice or diagnosis.

By signing up to Pure Essence Yoga and Wellbeing classes you are consensually providing your data to us so that we can deliver our services to you.

Your data is stored by Pure Essence Yoga and Wellbeing and is not shared or sold to any third parties.

We use your data to communicate with you via email and social media to provide class details; promote classes and other Pure Essence services; promote relevant content of interest; and respond to any queries.

Please note that the above information may change from time to time and all updates will be posted on this page. Prices are subject to change without notice.

Keeping COVID secure

All bookings need to be made directly through Claire, no ‘drop ins’

Please ensure you have completed an up to date registration form, this includes a summary on health details and a consent to practice.

Please do not come to practice if you feel unwell and have any viral symptoms or if any of your household members are self-isolating.

‘In person’ places will be limited to ensure safe spacing in the studio.

In line with the current government guidelines, face coverings are required when we are moving around the space (NOT on the mat).

All yoga kit is supplied: mats, bricks, bolster, blanket etc. All kit is thoroughly cleaned and laundered after each session. You are most welcome to bring your own sanitised kit too – please place it in the prepared space so the mats stay physically distanced.

The studio is always thoroughly cleaned, sanitised and well ventilated and will be prepared to the same standard prior to each session.

There is a toilet facility. Please wipe down the surfaces after use with the wipes provided and discard wipes in the bin. Hand wash and small individual towels are provided. Please place used towels in the basket provided.

There is a one-way system (if needed) to get to our mats and to leave them, we will mindfully disperse at the end of the session to avoid ‘crowding’ at the exit.

Please sanitise hands before helping yourself to fruit.

A register of everyone attending will be kept for NHS Track and Trace.

Please use your special energy to be considerate, respectful and mindful of each other’s space and the surrounding businesses.

Please always feel comfortable to let me know of any concerns you may have or if you need any help or support.

By attending a class/workshop/retreat with Pure Essence Yoga and Wellbeing you acknowledge and agree with the terms and conditions on this website.
